Expat Era Retreat Payment, Cancellation & Participation Terms

Please review before booking. By submitting payment, you acknowledge that you have read, understood, and agreed to the following terms.

Eligibility

Expat Era retreats are designed exclusively for women ages 18–40. You must be at least 18 years old as of the retreat start date to attend. Expat Era reserves the right to verify participant eligibility and cancel a booking that does not meet the stated eligibility requirements.

Accommodations & Room Sharing

Retreat accommodations are generally based on shared occupancy, and participants should expect to share a room with one or more other women attending the retreat. Room assignments will be arranged by Expat Era based on the accommodations available and the needs of the group.

If you are attending the retreat with a friend, you may request to share a room together. Both participants must make the request, and while Expat Era will make every reasonable effort to accommodate roommate requests, specific room assignments cannot be guaranteed.

Participants who require a private room may request one before the retreat. Private rooms are subject to availability and will require an additional fee, typically ranging from $250–$500. The exact surcharge will depend on the retreat location, accommodation costs, number of participants, room availability, and other relevant factors.

Private accommodations are not guaranteed until availability has been confirmed and any applicable additional fee has been paid. Participants should not assume that payment for the retreat includes a private room unless explicitly confirmed by Expat Era in writing.

What’s Included

Expat Era retreats are designed to be all-inclusive once you arrive at the retreat accommodations, with the exception of personal expenses and anything you choose to do during designated free time.

Your retreat includes:

  • Accommodations for the duration of the retreat

  • Daily breakfast and dinner

  • Select lunches when included as part of the day’s scheduled activities; please refer to your retreat itinerary for specific included meals

  • Transportation between the retreat accommodations and all scheduled outings, workshops, and excursions

  • All workshops and scheduled speaker events listed in the retreat itinerary (It is highly recommended to bring a laptop or tablet to get the most out of the workshop experiences.)

  • Admission and participation costs for scheduled excursions and experiences listed in the itinerary

 

Not included:

  • Airfare or other transportation to the retreat destination

  • Transportation between the airport, train station, or other arrival/departure point and the retreat accommodations

  • Lunches not specifically identified as included in the retreat itinerary

  • Activities, transportation, food, drinks, shopping, or other expenses incurred during designated free time

  • Personal expenses or optional activities not included in the scheduled retreat itinerary

 

Participants are responsible for reviewing the itinerary for their specific retreat to understand which meals, activities, excursions, and experiences are included. Unless specifically stated otherwise, any optional purchase, upgrade, activity, or expense outside the scheduled retreat itinerary is the participant’s responsibility.

Payment & Cancellation

Payment is required to secure your place at an Expat Era retreat. Bookings cancelled within 7 days of payment are eligible for a full refund. If a booking is made within 30 days of the retreat start date, the full-refund period is limited to 24 hours after payment. After the applicable full-refund period, cancellations made more than 30 days before the retreat start date are eligible for a 50% refund. All payments become non-refundable within 30 days of the retreat start date.

Cancellations must be submitted in writing via email to MyExpatEra@gmail.com. Refund eligibility will be determined based on the date the written cancellation request is received. Failure to attend, late arrival, early departure, or voluntary withdrawal from the retreat does not entitle a participant to a refund for any unused portion of the retreat.

Payment Deadlines & Payment Plans

Following submission of your booking request, you have 72 hours to either submit payment in full or request a payment plan. Your spot is not confirmed until full payment has been received or a payment plan has been approved by Expat Era. If neither is completed within 72 hours, your spot may be released and made available to another participant.

Payment plans are available at 0% interest for eligible bookings made more than 90 days before the retreat start date and must be arranged with Expat Era in advance by contacting us via email at MyExpatEra@gmail.com. All payment plan balances must be paid in full no later than 30 days before the retreat begins. Failure to complete the agreed payment plan by this deadline may result in cancellation of the booking and forfeiture of payments already made.

All payments made under a payment plan are non-refundable. However, if extenuating circumstances prevent you from attending, you may request to have the amount already paid applied as a credit toward a future Expat Era retreat. Credits are subject to approval by Expat Era, are not redeemable for cash, and any difference in price for the future retreat will remain the participant’s responsibility.

Payment Disputes & Chargebacks

Participants agree to contact Expat Era directly regarding any payment or refund dispute before initiating a chargeback or payment dispute with their bank, card issuer, PayPal, or other payment provider. Participants agree not to knowingly initiate a chargeback for a validly authorized payment solely to circumvent the cancellation and refund terms they accepted at the time of purchase. Nothing in this provision limits any rights or remedies that cannot legally be waived.

Participant Conduct

Expat Era is committed to creating a safe, respectful, and welcoming environment for everyone attending our retreats. Participants are expected to behave respectfully toward other guests, Expat Era representatives, speakers, vendors, venue staff, and members of the local community. Harassment, threats, discrimination, violence, dangerous conduct, severe intoxication, illegal activity, repeated disruption, unwanted sexual conduct, or other behavior that reasonably threatens the safety, comfort, or experience of others will not be tolerated.

 

Expat Era reserves the right to remove a participant from an activity or terminate their participation in the retreat at any time when Expat Era reasonably determines that their conduct is unsafe, seriously disruptive, inappropriate, or in violation of these terms. A participant removed for such conduct will not be entitled to a refund and will be responsible for any resulting transportation, alternative accommodation, property damage, or other personal expenses.

Assumption of Risk & Personal Responsibility

Participation in international travel and retreat activities involves inherent risks, including but not limited to illness, injury, accidents, transportation, outdoor and recreational activities, unfamiliar environments, food and beverage consumption, and other risks associated with travel.

 

By attending, participants acknowledge and voluntarily accept the ordinary and inherent risks associated with the retreat and agree to exercise reasonable care for their own health, safety, and belongings.

 

To the fullest extent permitted by applicable law, Expat Era and its owners, employees, contractors, representatives, and affiliates will not be responsible for injury, illness, loss, theft, property damage, travel disruption, or other loss resulting from risks inherent in participation, the participant's own conduct, acts or omissions of independent third parties, or circumstances outside Expat Era's reasonable control.

 

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from Expat Era's gross negligence, willful misconduct, or other liability protected by applicable law.

Travel & Personal Expenses

Unless expressly stated as included in the retreat package, participants are responsible for their own airfare, passports, visas, travel documentation, transportation to and from the retreat destination, travel insurance, medical expenses, and personal expenses. Expat Era is not responsible for missed or cancelled flights, transportation delays, denied entry into a destination country, failure to obtain required travel documents, lost luggage, or other disruptions to a participant's independent travel arrangements.

 

Participants are strongly encouraged to purchase comprehensive travel insurance covering trip cancellation or interruption, medical treatment, emergency evacuation, lost belongings, and other travel-related risks.

Changes, Cancellations & Circumstances Beyond Our Control

Retreat schedules, speakers, activities, accommodations, vendors, and other details may occasionally need to change due to weather, availability, safety concerns, local conditions, or circumstances beyond Expat Era's reasonable control. Expat Era may make reasonable substitutions or itinerary changes when necessary while making reasonable efforts to preserve the overall nature and value of the retreat.

If Expat Era cancels an entire retreat, participants will be informed of the refund, credit, rescheduling, or other remedies available in accordance with applicable law and the circumstances of the cancellation.

Expat Era is not responsible for a participant's independently purchased airfare, accommodations, transportation, or other travel expenses arising from a retreat cancellation or modification except where required by applicable law.

 

Personal Property

Participants are responsible for safeguarding their own passports, money, electronics, luggage, and other belongings. Expat Era is not responsible for lost, stolen, forgotten, or damaged personal property except to the extent required by applicable law.

Acceptance of Terms

By submitting payment, you confirm that you meet the retreat's eligibility requirements and acknowledge that you have read, understood, and agreed to these Payment, Cancellation & Participation Terms.
